Permissions should not be given to any other users.
Modifying and adding codes should be done with extreme caution.
Making changes to codes can break links to data and remove access to data and prevent functions. If you need assistance, please contact the help desk before proceeding.

Classroom Types - These are generic room types. Do not modify – these classroom types are tied to your teacher schedule classroom setup.
Editing could cause data to break.

Codes - Attendance Codes
These are codes tied to student attendance.
These codes should not be modified/ edited during a school year.
When Attendance has already been taken once school has started, attendance should not be modified.
Adding ‘new’ Attendance Codes is fine during a school year. Just do not edit or delete Attendance Codes.

Codes - Behavior Actions – Under - Action Type

Behavior Policy Codes (Policy Violations / school violations – Optional)

Codes - Behavior Policies – Optional – Policies are tied to your schools custom Policies. You may not have any defined.

Policy Validations – Optional

Codes - Behavior Types – found under Behavior

Behavior - these are Custom behavior types that are not reported to UTREx – this custom field gives LEAs more options to track behavior types that are not included in
the required federal and state mandated Behavior Types.

Codes - Activity Types – these codes are used for tracking School Activities

School Activity Codes are part of College and Career Plan
Activity Types – used to track extra-curricular activities students are involved in.
(Optional) - these activities can be tracked to help track student progress for scholarship information or school customized awards.


Codes - Relationships – tied to student - View Contacts
Do not modify these. If they are tied to students, hiding or changing them can cause errors in data and corrupt data access.


Codes - Relationships – tied to student guardian/non-guardian Relationships

Codes – Transportation Routes – tied to student transportation information found under Edit Enrollment
These routes are optional and may not be currently setup or used by your LEA.

Transportation -Found under Student Edit Enrollment - Add Transportation when applicable.

Codes – Student Note Types - Found under - Student Edit Enrollment - Notes

Notes -Tied to student Edit Enrollment – Under - Notes
Notes are customized for your school use. These types are only examples.

Codes – Languages – follow the federal guidelines for Language Codes.
Do not make any changes to Languages. Changes could cause failure in UTREx data collections. Language Codes need to be added a certain way to be sent to UTREx for State reporting.

Languages are added in Student Edit Enrollment

Codes – Counseling Note Tags – tied to student summary under Counseling Application (Optional).
You need to type in the name of the color you want to display for the tag.
You can go to the website listed to lookup color names for suggestion of colors.

Subject Codes – do not modify Subject codes – they are tied to courses – tied to teacher schedules - tied to student schedules - tied to Graduation Requirements - tied
to Student transcripts. Modifying or changing these codes can break many linked data.

Before modifying , reach out to the Application Help Desk for help. Most codes are hidden if they are not in use by your LEA, this is so the list of
enrollment codes is not so long when enrolling students.

Added – External LEA
This table is connected to courses – Existing LEAs should not be altered. Only schools that are not listed can be added with thee correct school number.
This list of schools is submitted to UTREx. Schools added or modified incorrectly will cause fatal errors in UTREx.
Caution – Caution – Edit with Caution! If you are not sure, always reach out to the Application Help Desk.

by UTREx – Only schools that are registered in CACTUS are allowed to be added to this list and submitted to UTREx.
These schools are linked to Master Schedule Courses and submitted to UTREx - Where is this class taught? Do not add test schools, they will create fatal errors in
UTREx. Test school here - was added just for demonstration.

Adding a College – you shouldn’t need to add colleges in this colleges table very often and maybe never. Make sure you put an LEA number and name that is accepted
by UTREx – Only Colleges who are registered in CACTUS are allowed to be submitted to UTREx.
These schools are linked to Master Schedule Courses and submitted to UTREx
Where is this class taught? Do not add test schools, they will create fatal errors in UTREx.
