Searching & Retrieving Students - Pro-Tips!
1. Make sure and start in the Student Search section of SSID system. Logic says either search should result in the same list, but there is a difference in the query. We suggest LEAs use the search to locate the SSIDs, then go into Retrieve Student to start the actual task.
2. Less is more. Just start with the Last Name (make sure the option for Contains is checked), and First Name (make sure the option for Like is checked)
3. Leave the default options as-is. The query in the system is all set to the defaults which will give you the greatest chance of pinpointing the student, but also takes into account typos/clerical errors in the student's name, dob, gender ID, etc.
4. You should get a match of "Close" and "Other Possible" by searching name only. You'll see in the results (redacted here to be in compliance with FERPA), have the student's DOB listed. We suggest manually viewing to verify the student is correct. If you find that the student's data has a typo from a previous enrolled LEA, please follow the "merge" process.
Finally, if you still cannot find the students to retrieve, you'll need to get confirmation from the guardians/parents on which LEA/District/Charter previously enrolled the students, and follow up with that LEA to compare records and find out what they "put" into the system originally.
