Aspire - Enroll Student Early Grad Funding

This funding is tied to the correct Entry Code.               

Enroll - adds all student demographic data.  This information includes – name, student id, SSID, gender, phone numbers, addresses, ethnicity, race, birth date, enrollment dates, teacher/advisor, grade, and contacts.  It is important to remember that this information must be accurate and updated at all times. 

Select  located on the School Lens:

Add student legal name – If the student has been enrolled in any previous school year at your LEAtheir name will display.  Select the student that matches the enrollment.  If no student is found, select Continue to enroll.

Enrollment Options are: 

  1. Based on last, first name, and birthdate – full legal name must be used. 

  1. Based on Student ID  the entire number must match for a student to be located. 

  1. Based on SSID – the entire number must match for a student to be located. 

This search is referred to as the Enroll Student Search and does a database search each time for any student that has ever been enrolled at your LEA.

The search gives the user possible matches based on the information that has been entered and allows the user to determine if it is the same student or a new student. 

If it is the right student, select the student card   

If it is not, then you select the  

The Enrollment screen will appear with the name and birthdate populated based on what you have typed or selected.  All information for a student is now located on a single screen that has been broken into sections based on the information being collected and entered.  

     Complete all demographic information. 

 

 

 


Adding Student Enrollment 

Select - Add Enrollment - Add Entry Code to more than a full-time student -

If a student is on track to graduate early and is taking more classes a day than is required by your LEA, you will use enrollment codes that are used for adding more membership days that are greater than a full WPU (weighted pupil unit) such as 1 ¼, 1 ½,  etc.…….. 

 
These codes are used for funding.  If the student is not going to graduate early, you do not use these codes. You will be audited on this information, so make sure it is accurate. 

 

 

 

If a student is on track to graduate early and the student is taking more courses than a full schedule, you would enroll them accordingly. 

 

In the example below, 1 ½ Time Student has been selected.  This means this student is scheduled 6 periods a day for a school’s full scheduled day but, takes 3 more courses on track to graduate early.  These other courses are taken as extra classes above a full scheduled school day which gives the enrollment code 1 ½ Time Student.

When selecting more than 1 WPU (weighted pupil unit) in the Entry Code, the student will be flagged in the College and Career Plan Application – Early Graduation Intention.  This is also flagging for increased student funding.

Entry code will now show 1 ½ Time Student or how many more courses the student is taking to graduate early.

You can check how many days are being awarded to the student by going to the reports. 


Statistics - Report Category – Year Round Membership 
 
 

 

 

 

 

This report will show the number of days that will be submitted to UTREx for student funding.  The student will show more membership days than a regular enrolled student. 

 

 

 

Increased membership days and the Early Graduation Intention field will be submitted for schools to receive the extra funding. 

 

 

Click  to finish the enrollment and scroll to the bottom of the screen and SAVE.
